Terms of Service

The agreement between Event Star and the organisations that use it. Last updated 8 October 2026.

1. Who we are

Event Star is an event management platform, a Raley Digital x Jozi Blocks product, operated by Event Star Events (Pty) Ltd, trading as Event Star ("Event Star", "we", "us"). Our full details are on our Company Information page.

These Terms of Service ("Terms") are an agreement between us and the organisation that signs up to use Event Star (the "Organiser", "you"). By creating an account, ticking the box at sign-up, or using the Service, you accept these Terms on behalf of your organisation and confirm you are authorised to do so. If you do not agree, do not use the Service.

2. Definitions

  • Service: the Event Star platform, websites, delegate portals, the Event Star app, APIs and related support.
  • Attendee: a person who registers for, buys a ticket to, or attends an Organiser's event.
  • Organiser Data: all information, content and personal information you or your Attendees put into the Service.
  • Users: the people you allow to use your account (staff, volunteers, exhibitors, speakers).
  • POPIA: the Protection of Personal Information Act, 2013.

3. Accounts and organisations

Your sign-up creates a separate, isolated workspace for your organisation. You are responsible for everything done under your account, for the Users you invite and the roles you give them, for keeping passwords and API keys secret, and for the accuracy of your account and billing details. Tell us immediately at hello@eventstar.co.za if you suspect unauthorised access.

4. The Service and beta features

Event Star is in active development. Some features are labelled beta or preview and may change, be limited, or be withdrawn. We may improve, change or remove features over time, and will give reasonable notice before removing a feature you rely on in a paid plan. You are responsible for testing the Service (for example ticket sales, emails and check-in) before relying on it for a live event.

5. Organisers and their events

You, not Event Star, are the organiser and seller of your events. You are solely responsible for:

  • your events, venues, programme, safety, permits, insurance and the accuracy of everything you publish;
  • your ticket prices, terms of sale, refund and cancellation policy, and honouring them;
  • complying with laws that apply to you, including the Consumer Protection Act, 2008, the Electronic Communications and Transactions Act, 2002, POPIA, tax law and any event or health and safety regulations;
  • having a lawful basis (and consent where needed) for the personal information you collect, including information you import from other systems;
  • dealing with your Attendees' questions, complaints and refunds.

Attendees deal with you under our Attendee Terms, which make clear that Event Star provides the platform only.

6. Acceptable use

You must follow our Acceptable Use Policy. In short: no unlawful events or content, no spam, no attempts to access other organisations' data or to probe or disrupt the Service, and no reselling of the Service without our written agreement.

7. Fees, billing and payment

  • Fees for plans, add-ons and AI credits are as shown at sign-up, in your quote, or on your invoice. Prices exclude VAT unless stated otherwise; VAT is added where it applies.
  • Invoices are payable within the period shown on them (by EFT or the online payment link). If an invoice remains unpaid after reasonable reminders, we may restrict or suspend paid features until it is settled.
  • Trials end on the date shown. Unless you choose a paid plan, paid features stop at the end of the trial.
  • Fees already paid are not refundable, except where these Terms or the law say otherwise, or where we agree in writing.
  • We may change our prices for future billing periods with at least 30 days' notice to your account administrators.

8. Ticket sales and payouts

Ticket payments are processed by the payment gateway you connect to your own account (for example PayFast or Paystack), under that gateway's terms and fees. Ticket money is paid by the Attendee to your gateway account, not to Event Star, and we do not hold or pay out ticket revenue. You are responsible for refunds to your Attendees, chargebacks, gateway fees and any tax on your sales. Each gateway supports certain currencies only (PayFast accepts South African Rand), and you must choose a ticket currency your gateway supports.

9. Data and POPIA

You own your Organiser Data. You give us the rights we need to host, process, display and transmit it to provide the Service to you and your Attendees.

For your Attendees' personal information, you are the responsible party and we are your operator under POPIA. Our Data Processing Agreement forms part of these Terms and sets out how we process that information. Our Privacy Policy explains how we handle personal information more generally.

You may export your data at any time while your account is active, and can delete your organisation's data from Settings > Data Privacy.

10. Intellectual property

We own the Service, its software, designs, templates and the Event Star name and logo. We grant you a non-exclusive, non-transferable right to use the Service during your subscription, for your own events. You keep all rights in your logos, content and data. If you send us feedback or ideas, we may use them without obligation to you.

11. AI features

Some optional features use artificial intelligence (for example drafting an event or writing descriptions and emails) through third-party AI providers. Only the text you or the feature submit for that task is sent. AI output can be inaccurate: review it before publishing or sending. Do not include Attendee personal information in AI prompts. AI use consumes AI credits as shown in your account.

12. Availability and support

We aim to keep the Service available and to fix problems promptly, but we do not guarantee uninterrupted or error-free operation, especially during the beta period. Planned maintenance will be scheduled away from your published event days where reasonably possible. Any service-level commitments apply only if set out in a separate signed agreement.

13. Suspension and termination

You may close your account at any time. We may suspend or end your access, with notice where reasonably practical, if you materially breach these Terms or the Acceptable Use Policy, fail to pay, or if your use creates a legal, security or reputational risk for us or other customers. On closure you can request an export of your data within 30 days, after which we delete or anonymise it, except records we must keep by law (see the Privacy Policy). Sections that by their nature should survive (including fees owed, sections 9, 10 and 14 to 19) survive termination.

14. Disclaimers

To the extent the law allows, the Service is provided "as is" and "as available". We do not warrant that it will meet every requirement, that events will sell, or that third-party services (payment gateways, email providers, app stores, AI providers) will be available. Nothing in these Terms excludes rights you have under the Consumer Protection Act, 2008, where it applies to you.

15. Limitation of liability

To the extent the law allows:

  • we are not liable for indirect, special or consequential loss, or for loss of profit, revenue, ticket sales, goodwill or data that could reasonably have been backed up;
  • we are not liable for the acts or omissions of payment gateways, venues, Attendees, exhibitors or other third parties, or for the cancellation, postponement or conduct of any event;
  • our total liability arising from these Terms in any 12-month period is limited to the fees you paid us for the Service in that period.

These limits do not apply to loss caused by our gross negligence, fraud or wilful misconduct.

16. Indemnity

You indemnify us against claims, losses and reasonable legal costs arising from your events, your content, your dealings with Attendees (including refunds and complaints), your breach of these Terms or of the law, and any personal information you collected or imported without a lawful basis.

17. Changes to these Terms

We may update these Terms. The current version is always on this page with its "last updated" date. For material changes we will notify your account administrators at least 14 days before they take effect. Continuing to use the Service after that date means you accept the updated Terms.

18. Governing law and disputes

These Terms are governed by the laws of the Republic of South Africa. If a dispute arises, both parties will first try in good faith to resolve it by negotiation for at least 20 business days after written notice. If it is not resolved, either party may refer it to a South African court with jurisdiction. Nothing prevents either party from seeking urgent relief.

19. General

These Terms, together with the policies they refer to and any signed order or quote, are the whole agreement between us about the Service. If any part is found unenforceable, the rest remains in force. A failure to enforce a right is not a waiver. You may not transfer your account without our consent. Notices to us go to hello@eventstar.co.za; notices to you go to your account administrators' email addresses. Our domicilium for service of legal documents is [to be completed].
